Why is my statement marked as a duplicate?
Last updated
CounselPro marks a statement Duplicated when the same file was uploaded twice, so nothing is counted twice. Repeated pages within a PDF are flagged separately.
CounselPro flags a statement as a duplicate when it has already seen that exact file in the project. The copy gets a Duplicated badge and is left out of the totals, so the same transactions are never counted twice. In most cases there is nothing for you to do, it is a safeguard, not an error.
The whole file was uploaded twice
If you upload the same PDF to a project more than once, the second copy comes back Duplicated. CounselPro compares the actual file, so an identical file is caught even if you renamed it. The duplicate is set aside and excluded from the page and statement counts, and it does not add its transactions to the ledger. You can leave it, or delete the extra copy to tidy up.
This is common and harmless. It happens when you are not sure whether a statement made it in and upload it again to be safe.
The same pages repeat inside one upload
There is a second, separate case: a single PDF (or an overlapping set) that repeats the same billing cycle, for example a year-end statement that reprints December. Those show up under Insights as repeated pages, each marked with a "Duplicate" badge and a match strength of Exact match, Likely match, or Possible match.
For those, you get two choices on each group:
Compare opens the two page ranges side by side so you can confirm they really are the same.
Delete copy removes the repeat. The original always stays, so you cannot delete the wrong one.
See how to find duplicated pages in a statement for the full walkthrough.
Duplicate statements vs duplicate transactions
A Duplicated statement is a whole file CounselPro set aside. That is different from duplicate transactions, which are individual rows that appear twice inside the data you did keep. If your concern is a charge showing up twice rather than a whole file, that is the article you want.
