How do I bulk-edit transactions in CounselPro?

Last updated

Check the rows you want in the CounselPro ledger, click Edit in the toolbar, and change one field across the whole selection at once, like Category or Merchant.

When many rows need the same fix, you do not have to edit them one at a time. Select the rows and CounselPro lets you change one field across the whole set at once.

How do I edit many transactions at once?

  1. In the transaction ledger, check the box on each row you want. Use the header checkbox to select every row on the page.

  2. A toolbar appears with Edit and Delete. Click Edit.

  3. Pick the field you want to change, like Category, Merchant, or Account Owner. A dialog opens for just that field.

  4. Set the new value and click Edit Transactions to apply it to every selected row.

The dialog tells you how many rows it will change, and a confirmation message shows when it is done.

Which fields can I bulk-edit?

The ones that describe a transaction rather than the money itself: Category and Category Detail, Merchant, Payment Channel, Account Number, Account Type, Institution, Account Owner, and Year.

You cannot bulk-edit the amount, date, or description. Those are specific to a single transaction, so you change them one row at a time by editing that transaction. Kind is not editable at all, since it follows the amount. Because those money fields are the ones that feed reconciliation, a bulk edit never changes whether a statement balances.

Note

Because the bulk-editable fields are all labels, a bulk edit changes your insights and breakdowns but not your balances. Only editing an amount or an account moves reconciliation.

The toolbar also has a Delete button. That is a permanent delete, not a fix, so use it only for rows that should not exist. See deleting versus removing a transaction.
