Self-healing reconciliation

When a cycle does not balance, CounselPro reads those pages again against the scanned image until every figure matches what the bank printed. Anything the records cannot prove stays open and comes to you with its statement page beside it.

What every cycle has to pass

Every cycle is measured against the totals its own statement prints. One that does not pass all three is left open and comes to you with the page beside it.

The printed totals
The bank prints a starting balance and an ending balance on every statement. The starting figure, plus everything that moved in between, has to come to the ending figure the bank printed, within two cents.
The printed counts
Most statements also print how many credits and how many debits they carry. The rows read off the pages have to come to the same two numbers, so a period cannot pass on the arithmetic alone while a row is missing from it.
Every account, then the statement
A statement carrying three accounts is read one account at a time, then as a whole. A verdict on the statement never covers for an account inside it that did not add up.

What the gap means

The bank printed an ending total of $3,080.00. The rows that resolve come to $3,800.00, and the printed count says nine debits against eight read. The balance column even brackets the difference, running 3,820.00 into 3,080.00. CounselPro still will not write the row, because the line that would prove it does not resolve.

What you do about it

You have the page. Check 1047 for $720.00 sits on the 03/28 line, and you can read it where a machine cannot. Add the row from the line under the ledger and the cycle balances at $3,080.00, with the counts at nine and nine. The record shows you added it.

The ledger answers to you

A verdict you cannot change is a verdict you cannot rely on. Every figure in the workspace is yours to correct, and every correction can be taken back.

Click a date, the page moves

Every row carries the page it printed on. Click the date and the document pane jumps to that page, so you can read the row against the line the bank set.

End $3,080.00

Click a balance, type the right one

Begin and End are fields, not labels. An account you have edited carries an edited tag from then on, so the record shows what a person set by hand.

+ Add a row

Add a row the page prints

Date, description, amount. It files under the account you are looking at and the gap moves the moment you add it. This is the line CounselPro will not write for itself.

Take a row out, and put it back

A charge counted twice comes out in one click. Removed rows collapse into a list you can restore from, so nothing you take out is gone.

Work every cycle in order

Previous and next walk every cycle the project lists, in the order it lists them. Go past the last cycle of one statement and you land on the first cycle of the one below it, so you never go back to a list to find your place. A whole production can be worked from inside the panel.

Queue

Ninety-six cycles, handed over one at a time

Rows in the order they print

CounselPro sorts a cycle by page first, then by where the row sat among the rows on that page. So the ledger on the right and the statement on the left run top to bottom together, and you are never hunting the page for the line you are reading.

What the label says

p.3 · 4

p.3
the page of the statement it printed on
4
the fourth row printed on that page

It is how you find the exact line when the same amount prints twice in one cycle, which is the moment scanning for a matching figure fails you.

A row with no page

Three rows of a cycle, the last of which CounselPro could not place on a page.
03/12p.3 · 2CHECK 1042
03/22p.4 · 3WIRE OUT MERIDIAN TITLE
03/30SERVICE CHARGE

A row CounselPro could not place on a page sorts to the end of the cycle and carries no label. It is never slotted into the middle of the run, where it would look like it came from a page it did not.

Order

The table and the page read together

Every manual edit stays on record

You can correct a balance, add a row the statement prints, or settle a cycle by hand. Each change is saved with the record, and you can undo it. A cycle settled by hand is marked that way, so anyone can tell it apart from one that balanced to the bank’s totals.

What the machine will not do

  • Plug a gap with a figure no page prints
  • Settle on a digit it cannot resolve on the page image
  • Take a cycle to balanced without the arithmetic behind it
  • Close an open cycle quietly, or on its own

A cycle it cannot prove reads Needs review when the figures come up short, or Unverifiable when the statement never printed a balance to read against.

What you can do

  • Correct a beginning or ending balance
  • Add a row the statement prints
  • Take out a charge that was counted twice
  • Settle a cycle by hand, and take that back

Every one of those is reversible, and every one of them is attributed. An account you edited carries an edited tag, so the difference between what the page proved and what a person decided is always on the record.

When a cycle cannot balance

Some cycles never balance, and there is a good reason for it. A pass-through account can print a zero balance while real money moved through it, so its rows can never come to the printed figure. That is a fact about the statement, not a fault in the reading, so you settle it yourself and the file says you did.

Mark the cycle reconciled
From the workspace header, once you have read the cycle against its pages and satisfied yourself it is right.
Revert to the engine verdict
Puts the automatic result back. A judgment call is never permanent, and changing your mind costs one click.
Or settle a whole statement
From its card in the overview, with the same revert sitting next to it, when every cycle in the file has the same reason behind it.
It records your judgment
The cycle then reads as settled by a person, not as balanced by arithmetic. Anyone who opens the file later can tell the two apart, which is the whole point of writing it down that way.

Premier. Reconciliation and the review workspace are on the Premier plan and on every single project. They run on statements processed from then on, so upgrading does not go back over work already done.
